CCISDA Vendor Participation FAQ's


How do I receive information on CCISDA conferences?
Conference information is distributed electronically and posted on the web site. Email sher@execevents.com to be placed on the distribution list.


How can I exhibit?
60-90 days prior to the conference, the vendor application packages are distributed (electronically). Complete the vendor application and submit by the deadline (as shown on the application). Exhibit spaces are awarded by lottery; vendors not awarded space will be wait-listed. An exhibitor may register a maximum of four (4) employees.


How can I be a sponsor?
A list of sponsor items and associated cost will be included in the application package. Complete the vendor application and submit by the deadline (as shown on the application). Sponsorship items will be awarded by lottery; vendors not awarded the item of their choice will be wait-listed. A sponsor may register a maximum of two (2) employees.


If I don't get exhibit space, can I still register to attend the conference?
You must be an exhibitor, secondary exhibitor (vendor sharing space with another vendor), or sponsor to attend.


What is a secondary exhibitor?
A vendor that shares space with another exhibiting company. A secondary exhibitor may register a maximum of two (2) employees.


How can I become a member of CCISDA?
CCISDA membership is reserved for staff members of California county IT departments.



How often does CCISDA have a conference/exhibit?
Twice a year, spring and fall, with locations alternating between southern and northern California.



Can vendors participate in the program?
Vendors interested in being part of the program may contact the program chair. Check the web site or contact sher@execevents for program chair contact info.



Can vendors attend program sessions and conference events?
Yes! Vendors are encouraged to participate with the members in all aspects of the conference with the exception of special interest group meetings (generally held prior to the official conference opening), and the CCISDA business meeting held the last morning of the conference.


How many people from my company can attend?
Exhibitors may register up to 4 individuals
Secondary exhibitors may register up to 2 individuals.

Sponsors may register up to 2 individuals
Individuals must be employees of your company
May I bring a spouse/guest?
Yes, there is a special registration option for guests. (A guest is a spouse or significant other.)


Where can I view a floor plan of the exhibit space?
Space assignments are made by Executive Events. A floor plan reflecting space assignments is available approximately 2 weeks prior to the conference.


Can I request to be placed next to or away from a specific vendor?
Yes. When you submit your application, you may make special requests regarding placement. Executive Events will try to accommodate all special requests.



Who attends the CCISDA conferences?
California county CIO's, Asst CIO's, CISO's, Network Specialists and other key IT department staff, as well as some state representatives.


What is the purpose of CCISDA conferences & exhibits?
CCISDA's conferences focus on networking and educational program through a series of roundtables, program topics/speakers and quality exhibit-time.


What does it cost to exhibit?
Exhibit space is $750 (limit of one space; fee is subject to change)
Registration fee for each person attending is $425 (maximum of 4 registrations; fee is subject to change)
There are nominal charges for electrical and booth furnishings (table, 2 chairs, wastebasket)
High speed connections vary depending on venue
Lodging is on your own, however negotiated conference rates are available if room reservations are made at the conference hotel before the reservation cutoff date.
Travel to and from the event is on your own.
Several meals are included in the conference registration fee.



What does it cost to sponsor?
Cost of sponsorship is based on the event/item/venue.
Registration fee for each person attending is $425 (maximum of 2 registrations; fee is subject to change).



What does it cost to be a secondary exhibitor?
Sharing space with a primary exhibitor is $500.
Registration fee for each person attending is $425 (maximum of 2 registrations; fee is subject to change).



Can I be a sponsor and an exhibitor?
Yes.



What type of recognition do I receive?
Contact information fo exhibiting and sponsoring companies will be published in the conference program.
Sponsors are also listed in a special sponsor section of the conference program, and receive specific recognition which may be in the form of signage, ticketing, special announcements or as may be appropriate to the item/event.


Will I receive a list of attendees?
Yes. After the conference a list of attendees and contact information, as provided by the attendee, will be distributed electronically.


Can I get a pre-registration list?
Yes, upon request, and if payment for all conference registration fees has been received.


When is payment for exhibit/sponsor/registration fees due?
Payment must be made at least 3 weeks prior to the conference; check, MasterCard, Visa and American Express are accepted.


CCISDA conferences are designed to provide a forum for California county IT department employees to network with their peers and with participating vendors. Unlike a typical tradeshow, CCISDA has developed an environment that offers vendors the opportunity to participate in all conference sessions, events, meals, etc. (with the exception of a few members-only meetings) and to be an integral part of the networking and educational process.

To make the most of your experience at CCISDA plan to attend sessions and find out what the hot topics are among California's county IT staffers, and plan to attend events and meals to get to know CCISDA members.

Registration for exhibit space and sponsorship was previously handled on a first-come, first-served basis. Because each conference (held twice a year) would sell out within the first 24-hours, CCISDA now uses a lottery system to award space and sponsorship. There is an application period, the lottery is held, and then all vendors are notified. Vendors not awarded exhibit space or the sponsorship item(s) of their choice are wait-listed.
